履歷表及求職信的撰寫

在傳統(tǒng)的求職管道中,準備履歷表(Resume)和求職信(Cover letter)是必然的一道程
    序。而人事主管部門面對成千的履歷表及求職信,其平均瀏覽的時間不過一至三分鐘。
    因此,如何在眾多的應(yīng)征者中脫穎而出,受到青睞,個人之學歷及能力固然重要,但一
    份經(jīng)過設(shè)計,適當包裝的履歷表,雖然不保證找到一份工作,卻很可能因此讓人耳目一
    新而獲得面試的機會。即使在新時代,注重人際關(guān)系網(wǎng)絡(luò),毛遂自薦,主動拜訪的求職
    方式下,一份簡潔有力的履歷表,依然是個人隨身不可或缺的重要資料之一。
    履歷表及求職信的撰寫并沒有嚴格的格式要求,但基本上一些重要訊息仍應(yīng)適當處
    理,有關(guān)履歷表及求職信之各種格式或撰寫方式可進一步參考有關(guān)書籍。
    一、履歷表
    履歷表的主要目的乃在獲得面試的機會,并且在面試時作為對談的參考依據(jù),因此應(yīng)
    針對工作要求及求職目標逐一設(shè)計,以平實簡潔方式表達個人之學經(jīng)歷與應(yīng)征工作間之
    配合關(guān)系。
    1、撰寫履歷表前之準備:
    (1)專人代寫或自行撰寫:時下雖然履歷表專業(yè)服務(wù)公司甚為流行,但因服務(wù)人員素質(zhì)
    良莠不齊,對顧客之認識亦屬有限,其為達推銷目的,往往在行文用語上展現(xiàn)夸張花
    俏,而內(nèi)容很可能空洞不切實際。因此專家們大多鼓勵求職者自行設(shè)計并撰寫履歷表。
    一來可以針對各種不同工作性質(zhì)或工作要求,重新篩濾個人學經(jīng)歷、專長,逐一設(shè)計符
    合各個工作應(yīng)征之需求;二來可以節(jié)省一筆開銷。一份好的履歷表不是急就章可以完成
    的,而是需要一而再、再而三地修改過濾,因此,在準備履歷表時,時間是絕對不可節(jié)
    省的。
    (2)紙張及繕打設(shè)備:履歷表所有之紙張以純白或淡白色品質(zhì)佳者為主,紙張大小以
    8.5x11之規(guī)格為原則。避免使用彩色紙張,一來過于花俏,二來不易閱讀??槾驎r以潔
    凈為原則,近來計算機文書排版便捷,而且日后修改容易,對于履歷文書之處理是很理
    想的工具,唯打印時應(yīng)以激光打印機打印,針式打印機有礙美觀,應(yīng)避免使用。
    (3)語氣及用語:用語上力求平實、簡潔、不吹噓夸大,但字里行間仍應(yīng)透露出自信及
    個人之才能。
    2、履歷表之主要內(nèi)容:
    (1)姓名、地址、電話:如通訊處無公司住家或日夜之別者,則應(yīng)將姓名、地址、電話
    置于紙張起首處之中央(例一),若通訊處有地點、時間之別者,則姓名列于起首中
    央,而將通訊地址、電話分置于左上及右上方之處(例二)。

    (3)工作目標 (Objective):這項內(nèi)容視情況需要而定。如果能明確界定出求職目標,
    則可以讓雇主輕易地掌握到求職者是否為其所需。好能針對自己的興趣,準備不只一
    個目標,每一份履歷表只放一個目標,在界定時避免太狹隘,以免喪失機會。人力資源
    專家認為除非對應(yīng)征職位、職務(wù)性質(zhì)、工作地點、工作性質(zhì)、行業(yè)有相當確定之認識
    時,才須加入目標此項,否則若求職范圍廣泛,而且興趣不固定者,好省略目標一
    項,以免受撰述限制而失去其它面試的機會。
    (4)教育程度(Education):以倒敘方式詳列每項學位、獲得日期、就讀學校、就讀系
    所、學業(yè)成績優(yōu)良者甚至可以列出GPA成績,或班上排名,或百分比。一般人事主管認
    為只有學業(yè)成績表現(xiàn)不佳者才會藏拙不列出成績及名次。而若主修成績優(yōu)于總平均,而
    主修與應(yīng)征職位密切相關(guān)者則不妨以如下方式列出:
    Overall: GPA: 3.5 (on 4.0 basis)
    Major: Economics. GPA: 3.85
    具博士學位者則另須列出博士論文標題,指導(dǎo)教授姓名以及以二、三行摘述論文菁
    華。榮譽及獎項 (Honors & Awards)可列于「教育」大項中,也可另行獨立分項以顯示
    個人杰出表現(xiàn)之處,列敘時亦依日期倒敘列出。
    (5)工作經(jīng)驗(Work experience):內(nèi)容應(yīng)包括受雇單位、地點、職稱、就職時間(年
    月即可)、擔任職務(wù)、工作表現(xiàn)。在說明工作表現(xiàn)時盡量以量化方式表達,例如:提高
    總產(chǎn)值10%,而且應(yīng)以誠實為原則,若為團隊完成者,不應(yīng)將功勞攬在一己身上,吹噓
    很容易被視破。描述時不須以完整句子表達,而是以Action Verbs為首(附一)說明工
    作成就、具體事實等。若仍在學無就業(yè)經(jīng)驗者,則應(yīng)強調(diào)研究成果或課外活動表現(xiàn),打
    工經(jīng)驗等。
    (6)其它可獨立分項者:特殊技能如計算機語言專長,熟悉軟件及硬設(shè)備等?;蛉缯Z言
    能力(各種外語之熟稔程度,包括聽說讀寫),參加之專業(yè)團體或協(xié)會、社團組織,擔
    任職務(wù)等足以展現(xiàn)個人社交活躍之能力,再如執(zhí)照專利及特別證書等亦可列出其獲頒日
    期,獲頒單位。至于重要論著(Publication)若為數(shù)不多,則可列入履歷表內(nèi),但為避
    免履歷表篇幅過長,通常論著多者以采附算方式獨立附于履歷表之后。服軍職者,不管
    義務(wù)與否,或可獨立列出并載明日期或并于工作經(jīng)驗之中。
    (7)推薦人(Reference),一般只有學術(shù)研究性質(zhì)之工作需詳細列出推薦人之姓名、職
    稱、聯(lián)絡(luò)電話、地址等信息。否則當應(yīng)征單位沒有要求時,不須主動附上,以免有不良
    影響。處理時只須于履歷表之末寫上:References available upon request,但心底
    應(yīng)有幾個推薦人可備詢,以防有求才單位咨詢,而推薦人之人選必須是對自己有基本認
    識,印象佳,且愿給予支持者。聲譽卓著之人選雖然具影響力,但其不見得有正面支持
    時反可能造成反效果,因此未必是適合之人選。
    3、履歷表的格式:
    一份好的履歷表未必放諸天下而皆準,能表現(xiàn)個人特色,爭取面試機會者即是好的履
    歷表。有些人學歷表現(xiàn)優(yōu)于工作經(jīng)歷,有些人則相反,此二類人之履歷表之格式設(shè)計上
    比重就不盡相同。在個人學經(jīng)歷中愈是重要,愈顯現(xiàn)個人優(yōu)越者愈應(yīng)擺在前頭。學歷佳
    者可優(yōu)先說明教育程度,但畢業(yè)就業(yè)已久者,似乎以強調(diào)工作經(jīng)驗為佳。
    履歷表的格式也因個人使用時機不同而主要可分為二類。一是年序式
    (Chronological),一是才具式(Functional)。前者將履歷表主要內(nèi)容分項,依時間發(fā)
    生先后倒敘而下;而后者則忽視時間之重要性,將工作經(jīng)驗一項重新打散,依技能項目
    排列組合歸類于各不同之技能小項下?;蚩杀A艄ぷ鹘?jīng)驗之標題,或另以資歷
    (Qualifications)取代,時間順序不再是才具式履歷表排序的標準。例如范例二(附
    三)Qualifications下列有Communication Skills, Leadership Skills, Community
    Skills。這些技能分項除了可依個人技能類別分項外,亦可針對工作要求之技能,特別
    是Leadership Skill, Writing Skill, Communication Skill等常見之工作要求,加以
    分類。通常資歷或技能下歸納出四至六種才能,每一才能下另列三至四種工作成就。以
    下僅就此二種履歷表使用時機及優(yōu)缺點分析如下:
    甲、年序式:
    (1)使用時機:
    a、個人事業(yè)(或?qū)W業(yè))相當連續(xù),并未有連續(xù)失業(yè)達一年以上之事實,而且也沒
    有未充分就業(yè)(即兼差半職)的情形,同時在工作表現(xiàn)上持續(xù)進展,此點可從工作升遷及
    擔任職務(wù)之重要性窺出一般,就業(yè)尚稱穩(wěn)定,未見經(jīng)常跳槽轉(zhuǎn)業(yè)之例。
    b、目前工作經(jīng)驗或整體就業(yè)經(jīng)歷,與求職目標息息相關(guān)。因為倒敘式說明工作經(jīng)
    驗,可讓雇主明白應(yīng)征者當前工作性質(zhì)是否對應(yīng)征工作之勝任,而且是否有轉(zhuǎn)業(yè)傾向。
    同時整體之工作經(jīng)歷可以說明專長及經(jīng)驗之累積符合工作目標之要求,因此非常適合從
    事性質(zhì)相近之職務(wù)時使用。
    (2)優(yōu)缺點:
    a、優(yōu)點:對人事部門而言,年序式履歷表依時間循序漸進,易讀而且可輕易判斷
    應(yīng)征者過往服務(wù)單位之聲譽,進而推斷應(yīng)征者之工作表現(xiàn)優(yōu)劣與否。而對求職者而言,
    因時間排序邏輯清楚,因此撰寫安排上較才具式容易。
    b、缺點:太強調(diào)個人進展及事業(yè)連續(xù)或穩(wěn)定性,容易使個人專長受到忽略,因此
    在轉(zhuǎn)業(yè)時無法突顯出個人才能與應(yīng)征職位間之相關(guān)。此外太過重視當前經(jīng)驗及成就,若
    應(yīng)征職位與早期經(jīng)歷相關(guān),則無法在年序式履歷表中優(yōu)先表達出來。再者就業(yè)中斷或未
    充分就業(yè),都可在時間序列中一眼看出端詳,對于個人能力之評估有不良之影響。透過
    時間與學經(jīng)歷間之關(guān)連亦可推測出求職之年齡,有時也會影響面試機會。
    乙、才具式:
    根據(jù)統(tǒng)計,只有20%——25%的雇主會接受這種履歷表。因為這類履歷表很容易讓人聯(lián)想
    到失業(yè)、就業(yè)中斷或轉(zhuǎn)業(yè)等因素避而不用年序式履歷表。因此除非有特殊因素,否則
    好采用年序式。
    (1)使用時機:
    當個人有失業(yè)或就業(yè)中斷、未充分就業(yè)、經(jīng)常轉(zhuǎn)換工作、轉(zhuǎn)業(yè)需要,以及個人事業(yè)無
    明顯進展,且無優(yōu)秀之學經(jīng)歷或當前工作經(jīng)驗與工作目標不相吻合者,不妨考慮以才具
    式之履歷表強調(diào)個人整體之專長及資歷。
    (2)優(yōu)缺點:
    a、優(yōu)點:在格式設(shè)計上,因不受時間順序之限制(時間甚至可以不提),故而無
    法推斷個人之就業(yè)史,而且也無從知道失業(yè)或轉(zhuǎn)業(yè)之負面事實,而且也不易從中推測出
    年齡。同時重點強調(diào)的是個人資歷、專長與工作目標間之關(guān)系,因此面對不同工作要
    求,只須將專長資歷項下及才能依重要性重新排列,故可適用于一個以上的工作申請,
    個人專長可以獲得較多的關(guān)注。
    b、缺點:容易讓人懷疑使用此類履歷表之動機,而且不易閱讀,增添人事部門主
    觀判斷以及揣測的空間。
    4、注意事項:
    (1)長度:履歷表的長度以不超過二頁為原則,若能在一頁之內(nèi)表達清楚更佳,而在這
    一至二頁中應(yīng)充分說明「Who are you?」、「What do you want to do?」以及「What
    have you done?」。
    (2)版面設(shè)計:利用打字技巧如分標題 (heading)、大寫、描黑、字底畫線
    (underline)、黑點 (dot)、星號(*)、縮格(indent)等方式,使各項內(nèi)容一目瞭然,
    而且字體大小應(yīng)適當選擇,同時紙張二邊留白應(yīng)力求平衡,不可左傾或右偏。
    (3)內(nèi)容校對:文法、拼字、標點符號務(wù)求精確,好請學校專業(yè)人員
    (Career Advisor) 或外籍朋友有任職經(jīng)驗者看過,并且征詢有無修改補充之處。
    (4)組織結(jié)構(gòu):撰寫時把握 Clarity(用語簡潔并且與職位相關(guān))、 Conciseness(盡
    量在一至二頁中表達)、Forcefully(所傳遞之訊息,強而有力介紹個人能力)。不可
    太過繁瑣,以顯草率。但也不可太過貧乏而有遺珠之憾,終目的必須引起求才單位之
    閱讀興趣。
    (5)用詞遣句:在紙張起首處,不須加上Resume字眼,多此一舉。說明工作表現(xiàn)以電報
    (telex)式語氣具體表達。句子不須強加主詞,尤其忌諱出現(xiàn)主詞 "I",容易流于幼稚
    膚淺。省略 "I"已是履歷表撰寫上約定俗成的用法。
    (6)除非求才單位要求加附照片,否則照片絕不可黏貼于履歷表中。
    二、求職信(Cover Letter)
    在求職過程中,除了利用履歷表來簡介并推銷自己外,依例仍須附上一封求職信,告
    訴求才單位,你對該工作之勝任及申請意愿。履歷表是求職程序中之主體,但求職信卻
    可補其不足,達到畫龍點睛,錦上添花之妙用。因此可將一些無法在履歷表中充分發(fā)揮
    之個人專長或才能,透過求職信詳細說明,藉由履歷表及求職信之相輔相成,爭取到面
    試的機會。
    1、求職信的格式(Format):
    (1)如商業(yè)文書,信首右上方是發(fā)信地址及發(fā)信日期。接下來,左上方則是收信人姓
    名、職稱、收信地址(包括公司名稱),有關(guān)收信人之姓名及職稱應(yīng)調(diào)查清楚。如不確
    定,可去電該公司總機查詢,并查詢該人事甄選負責人之姓名,以便冠稱 Mr.or
    Ms.(Mrs.)。
    (2)敬稱語:Dear Mr., Mrs.or Ms.姓,只稱呼其姓,而不須全名列出(但需注意的
    是,前文提到收信人,則應(yīng)列出全名,即 Mr. (firstname)+(last name),此敬稱語千
    萬不可因不確定收信人為何而以 "To whom it may concern" 取代,此舉讓人覺得草率
    而且缺乏誠意。
    (3)正文:通常分為三至四段,并且以一頁為原則,除非必要,方使用二頁。
    a、第一段:說明寫此信之原因,從那里得知此工作,例如就業(yè)輔導(dǎo)處 (Career
    Center, Placement Office) 、報紙、朋友、師長;欲應(yīng)征何種職位,并簡介自己資歷
    與職位要求相吻合,進而說明工作目標。但注意此處所提之工作目標應(yīng)與履歷表中所列
    之工作目標一致。例如:
    Ms Dorothy Johes from your faculty encouraged me to write you regarding a
    possible teaching position in North High School when I graduated from
    college. This June I will receive the B.A.degree from Indiana University,
    and I would like to teach in my hometown, Columbus, Ohio. (Source: Your Job
    or Graduate School Search, P191.)
    b、第二段:說明你為何對該工作感興趣,為何你認為你的資歷符合工作要求,并
    進一步闡述自己之專業(yè)才能、工作經(jīng)驗、所修課程,避免復(fù)述履歷表的用語。例:
    You will see from my resume that I have strong quantitative background:15
    credits of advanced high school and college mathematics, including basic and
    advanced calculus, probability and statistics, and basic accounting,
    GPA:3.6.(Source: "Resume Writing," "The Cover Letter," Career Service
    Center, Princeton University, P19.)
    c、第三段:指出隨函附寄履歷表供參考,同時說明履歷表中乃記載個人之相關(guān)資
    歷及背景。這段可長可短,或者與前段對照(前段可寫學業(yè)表現(xiàn)),另再舉證工作表
    現(xiàn),說明自己的才能乃應(yīng)征職位之所需。例:
    Enclosed is my resume to detail my backgrounds and qualifications.
    或?qū)⒏郊囊皇陋毩⒂诮Y(jié)論之首,此段僅進一步說明資歷??傊?,務(wù)必讓收信人明白履歷
    表己隨函附寄。
    (4)結(jié)論:希望收信人收悉后會采取一些有利之行動,如提供面試或電話訪談?;蛘吒?BR>    積極主動說明電詢或拜訪之意。
    例一: I would be happy to meet with you and discuss career opportunities at
    (公司名).
    例二: I would like to discuss career opportunities and my qualification
    with you personally.
    若有地利之便或時間許可,可能于幾月幾日幾點電詢申請結(jié)果或當面會談。后可加
    上客套話如:Thank you for your consideration或 I am looking forward to our
    meeting.
    三、注意事項
    1、每封信應(yīng)原版打字打印,不可以影印本代替。
    2、所有寄出去的信都應(yīng)保留影本,以備查閱并回函。
    3、紙張以白色及淡白色為主,三折放入9-10吋大之信封內(nèi)。
    4、信末一定要記得簽名,工作性質(zhì)不同之信好分別撰寫,不要以通稿代之。但若性
    質(zhì)雷同之工作,以同內(nèi)容之信分寄不同公司時,應(yīng)仔細核對信首、信中及信封提到公司
    名稱時皆完全一致,免得張冠李戴,錯誤百出。
    5、用語簡潔,避免陳腔濫調(diào)及空泛含糊的字句,語氣力求平實不花俏,同時每段起首
    避免以主詞 "I"開頭,字里行間充滿自信,但不夸大。
    6、寄信時,避免在收信人于星期一或星期五收到,若有截止日期或是應(yīng)征報紙廣告上
    之工作者,則愈早寄愈好,免得人選補齊后,不再錄用。
    7、求職數(shù)據(jù)寄出后,盡管文情并茂,頗具說服力,但也不能保證一定有面談機會。不
    過當寄出后二周內(nèi)仍未收到回音,則不妨去電詢問應(yīng)征結(jié)果,以示對此事之重視及態(tài)度
    之積極。
